This article provides instructions for creating membership bundles and adding members to them via imported spreadsheet.
For help with creating membership bundles directly in your database and adding members to them manually, see Membership bundles.
For help with preparing any spreadsheet for import, view our Importing checklist.
Before you start
To create bundles with an imported spreadsheet, you need to know the following:
- The name of the bundle-type membership level, such as Corporate, Family, or similar.
- The email address or user ID of the contact who will serve as bundle coordinator. This person's email address or user ID becomes the designated Membership bundle ID or email.
Creating a new bundle
To create a new membership bundle, locate the row for the contact who will serve as the bundle coordinator. In the Membership level field for that contact, enter the name of the bundle-type membership level, such as Corporate, Family, or similar.
For every bundle coordinator assigned a bundle-type membership level in their Membership level field, a separate membership bundle will be created. All other (non-coordinator) members of a bundle should not have values entered in their Membership level fields.
The email address or user ID for the bundle coordinator becomes the designated Membership bundle ID or email for all members of that bundle. The system uses the Membership bundle ID or email column to identify and assign members to a specific bundle during an import.
Any contact who has the coordinator's email address or user ID listed in their Membership bundle ID or email field will become a member of that coordinator's bundle.
In the example below, 5 separate bundles will be created with this import, in 2 bundle-type Membership levels: Corporate and Family.
Karen Taylor, Michael May, Kim Jones, and Lyle Carter will each be recognized by the system as the bundle coordinator of their own bundle.
Roger Waterson has Corporate entered in his Membership level field, so he serves as the bundle coordinator for a new Corporate bundle. The system will recognize Bruce Dickins as a member of Roger Waterson's Corporate bundle because Bruce Dickins has Roger's user ID entered in his Membership bundle ID or email field. The system will recognize Alison Smith as another member of Roger Waterson's Corporate bundle because Alison Smith has Roger's email entered in her Membership bundle ID or email field.
Michael May's bundle does not have any members listed in the spreadsheet, but they may be added at a later date by entering his email address in each bundle member's Membership bundle ID or email field.
Adding or updating bundle members
To add a new member to a bundle, or to update contact details for a bundle member, ensure the bundle coordinator's email address or user ID is listed in the Membership bundle ID or email field for each member within the spreadsheet.
When adding members to an existing bundle, leave the following fields empty for the non-coordinator members:
- Membership level
- Status
- Renewal due
Importing the spreadsheet
When you are ready to upload the spreadsheet, view the step-by-step instructions available in our Importing checklist.
Pro Tip: It is usually a good idea to first create all the membership levels you need in your WildApricot database before beginning your import. This will prevent unwanted levels from being created due to spelling inconsistencies in your spreadsheet.
After you have completed the import, navigate to Members > Levels to view the new bundle levels that were created.
Suspending an entire bundle through import
To suspend an entire bundle via an imported spreadsheet, you need to perform two separate imports, in the following order:
- Import 1: Suspend all bundle members, but not the coordinator, by setting their Membership enabled fields to No.
- Import 2: Suspend the bundle coordinator by setting their Membership enabled field to No.
The bundle can be reactivated by importing the bundle coordinator and bundle members with Membership enabled field set to Yes. This will reactivate all bundle members and the bundle coordinator.
You can always suspend members and bundles manually within your database. For more information, view Suspending a member.
