Advanced events - Ticket types & settings tab

Overview

For Advanced events, you must set up at least one ticket type before you can allow registrations. Set up ticket types for an advanced event using the Ticket types & settings tab. 

Setting up different ticket types for an advanced event provides abundant options for customization. You can charge different prices for different event packages or for different kinds of attendees. For example, you might want to charge more for non-members, or for special seating. 

You can also choose to cap the number of registrations for each ticket type separately from any overall event registration limits. For example, you might want to offer a limited number of lower-cost student registrations. 

You can also define a registration window – with starting and end dates – to allow for limited-time discounts or to cut off registration a certain number of days before the event.

Creating a new advanced event by copying an existing one will also copy the ticket types.

For simple events, a single ticket type called RSVP is automatically created.


Add a ticket type

Note: Before you can begin adding ticket types for a new event, you must provide a title and a start date for the new event and click Save

1. Navigate to Events > Event list and select the event.

2. In the Event details view, click on the Ticket types & settings tab.

3. Click Add ticket type.

4. Provide the information requested and then Save.

Ticket type details

Status
This setting controls whether the ticket type is active and available on the event registration form.

Name
This is the name for the specific type of ticket, not the event name. For example, you might name a ticket type VIP Seating Ticket or Student Discount Ticket. This name will be displayed to the registrant when they are asked to choose the ticket type on the registration form. Ticket types are displayed in alphabetical order by ticket type name on the event registration form, so if you want to re-order them, you have to rename them or add numbers ahead of the names. If you have 10 or more events, the numbering should begin with 01 for proper alphabetical sorting. Similarly, if you have 100 or more events, the numbering should begin with 001. 

Description
Text entered here is optional and will be displayed to registrants in grayed-out text below the ticket type on the registration form. See the images below for an example.

Base price
The base price for this ticket type. This does not include any additional event options available at an extra cost.

Taxes
Choose whether to follow the tax scope settings, or ignore the tax scope and apply or disable taxes for this ticket type. See Taxes for more information.


Ticket type settings

Registration limit
The limit on the total number of registrations for this individual ticket type. After the ticket type registration limit is reached, registrations for that ticket type will be closed, and an email will be sent to the event organizer. The sold-out ticket type will no longer be an option to select on the event registration form.

Waitlist
The ticket type waitlist option only appears if you set a ticket type registration limit. Waitlist settings can be configured in the Waitlist & settings tab after you click Save for the ticket type. To learn more, view Setting a registration limit for a ticket type.

Multiple registrations
Controls whether contacts can register multiple times for the same ticket type. If multiple registrations by the same contact are disabled at the event level, this option will not be available for individual ticket types.

Cancellation
Choose whether or not to allow cancellations and limit cancellations to a specified number of days before the event start date.


Guest registration

Guests
If enabled, registrants can register guests at the same time that they submit their own registration. 

Information to collect
This setting specifies whether you want to collect contact details for each guest registrant. If you don't want to add guest data to your contact database, select Only total number of guests

Guest pricing
Choose to apply the ticket type's base price or provide a Special guest price.

Guest limit
This limits the number of guests that each registrant can register for the ticket type.


Ticket type availability

Availability
Controls whether this ticket type is available to everyone, just certain membership levels, or to anyone with a registration code. Using registration codes allows you to offer discount pricing to selected people. Members-only ticket types are not available to lapsed or overdue members, or to new members with a Pending status.

Available period
Controls when this ticket type is available. You can specify the registration start date by setting a From date, and set a registration deadline by specifying a Through date. Leave both fields blank if you don't want to set a date limit. Registration will remain open during the specified time period using the event's time zone.

If unavailable
This setting determines what appears on the registration form if the ticket type is not available for a particular visitor. You can choose to display the ticket type in grayed-out text, with a notice indicating why the ticket type is restricted, or you can choose to hide the ticket type. 


Registration settings

Event registration limit
After the event registration limit is reached, the registration will be closed, and an email will be sent to the event organizer. On your events calendar page, visitors will see that the event is closed for registration and that there are no spaces left. For more information, see Capping event registrations.

Waitlist
The registration waitlist option only appears if you set an event registration limit. Waitlist settings can be configured in the Waitlist & settings tab after you have saved the event and at least one ticket type. When the waitlist is enabled, a Join waitlist button appears within the event details on your public site when the registration limit is reached. For more information, see Event waitlists.

Payment method
Choose whether to accept online and/or offline payments for the event. The online option is only available if online payments have been enabled and configured within your account's global Payment settings.

Depending on which payment method option you choose, one of the following payment workflows will take place:

  • If only offline payment is enabled, then an invoice will be emailed to the contact after they click the Confirm button – unless invoice emails have been disabled from the Invoice and receipt settings – and a registration summary will be displayed. From the registration summary, the contact can choose to view or pay the outstanding invoice.
  • If only online payment is enabled, then a Pay online button will appear. Clicking the Pay online button will take the contact to the online payment screen for your site's payment provider, where they can pay the registration fee. The fee will not be adjusted to take into consideration any credits or other outstanding invoices. With the Online only payment method selected, you can choose to automatically cancel the registration if the registration fee is not paid within 15 minutes. With the Automatically cancel registration if payment not received within 15 minutes option enabled, the unpaid registration will be automatically canceled, the corresponding invoice will be voided, and the registration cancellation email will be sent. If not already a contact in your database, the registrant will be added as an archived contact. Payments made after 15 minutes will be recorded but will not be applied to the invoice.
  • If both online and offline payment options are enabled, then two buttons will be displayed: Pay online and Invoice me. Clicking the Pay online button will take the contact to the online payment screen for your payment provider. Clicking the Invoice me button will result in the contact being emailed an invoice – which they can pay online or offline – and a registration summary being displayed. From the registration summary, the contact can choose to view or pay (online) the outstanding invoice.

Payment instructions for this event only

Any instructions you enter here will appear on the Review and confirm page of the event registration form as well as at the bottom of the invoice emailed to the registrant. 

The images below show where the Payment instructions for this event text box is located within the Ticket type & settings tab and where the text will appear to registrants.

Note: If nothing is entered in the Payment instructions for this event only text box, the payment instructions will default to the For event registrations payment instructions in your account's global Payment settings.


Edit a ticket type

To edit an existing ticket type, follow these steps:

1. Navigate to Events > Event list and select the event.

2. In the Event details view, click on the Ticket types & settings tab.

3. Under Ticket types, select the ticket type name.

4. Click Edit in the top left corner of the screen.

5. Make the desired changes and click Save.

Note: If you can't select a ticket type for editing, it's because you are currently editing other event details. You cannot modify ticket types while in edit mode. You have to click the Save button to save your changes or click the Cancel button to discard them.

Duplicate a ticket type

To duplicate a ticket type, follow these steps:

1. Navigate to Events > Event list and select the event.

2. In the Event details view, click on the Ticket types & settings tab.

3. Under Ticket types, select the ticket type name.

4. Click Duplicate. This button is located under the top menu, next to Edit.

5. Make any desired changes to the duplicated ticket type and click Save.


Delete a ticket type

Important Note: Before you can delete a ticket type, you must remove from the event registrants list and the event waitlist any registrants who already registered with that ticket type.

To delete a ticket type, follow these steps:

1. Navigate to Events > Event list and select the event.

2. In the Event details view, click on the Ticket types & settings tab.

3. Under Ticket types, select the ticket type name.

4. Click Delete. This button is located under the top menu, next to Edit.

5. Click OK to confirm the deletion.


Controlling the order of ticket types

Ticket types are displayed in alphabetical order on the event registration form, so if you want to re-order them, you have to rename them or add numbers ahead of the names. If you have 10 or more events, the numbering should begin with 01 for proper alphabetical sorting. Similarly, if you have 100 or more events, the numbering should begin with 001.
